Responsibilities of the renter
The renter must appoint a person in charge of the event, who is of-age and present throughout the event.
The renter is liable for protecting the premises and furniture from any damage. The renter is responsible for any damage caused to the immovable or movable property of Villa Elfvik. The amount of damages paid will be arranged case-specifically. The renter is solely responsible for any equipment or other property they bring to Villa Elfvik.
The person in charge must ensure that the premises are used only until the time specified in the agreement and that only invited guests are present at the event. The person in charge must ensure that someone is present until the security guard arrives to lock the house. Any extra visits by the security company will be charged from the renter. The renter undertakes to observe all instructions by Villa Elfvik staff in matters concerning the use of the premises, furniture and equipment.
In case of property emergencies, such as water damage, please contact the on-call maintenance service: tel. +358 9 81675600.
Preparations prior to the event
No fee is collected for the preparation time. On weekdays, you can prepare the premises for your event after closing time. When the café is open, you can start your preparations one hour after the house is closed. The preparations may not disturb the operations of the house. Temporary structures may only be erected with the permission of the Nature House staff. Do not tape or pin anything to the walls or floors of the house. Signs and posters may only be placed in locations specifically reserved for them.
Catering
You are free to use any catering service at the Nature House, but must provide their contact information to the Nature House staff before the event. The Nature House kitchen is a service kitchen and as such, is not suited for cooking. The kitchen includes a fridge-freezer and a stove as well as a coffee maker and a kettle. A basic set of dishes for 50 persons is at your disposal. The use of disposable tableware is not allowed.
Cleaning
The Nature House premises are handed over for your use as they are after the house’s normal operations. The renter is in charge of any cleaning that may be needed before the event and is responsible for ensuring that the premises are left clean after the event.
The renter is responsible for cleaning the premises so that all furniture used, floors, worktops, etc. are cleaned. Any furniture and dished used will be returned to their original places. The sorted waste is taken to the waste collection point. No charge is collected for the cleaning time. The renter undertakes to clean the house by 7:00 am the day after the event. The yard must also be cleaned. If the renter fails to clean the premises or the yard, the accrued cleaning costs will be collected from him/her. If the opening of the Nature House is delayed due to insufficient cleaning, the customer who booked the premises will be charged an additional fee of EUR 1000. For an extra charge, the Nature House can also arrange the final cleaning for you.
Transferring the contract and changes
The renter is not allowed to transfer the contract or hand over the premises to a third party without the consent of the Head of the Nature House. Any changes to the contract must be made in writing. If the renter cancels a confirmed event in seven days or less before the event, 50% of the full fee will be charged as booking costs.
Handing over the key
The key to the Nature House is handed to a City of Espoo employee or an elected official for a work-related or a private event. In case of misuse, the premise will no longer be rented to the person in question.
Fire and personal safety
Smoking and the use of fog machines is forbidden. Due to the risk of fire, lighting fire in the fireplaces and burning candles indoors is forbidden. Outdoor candles can only be burnt on non-combustible surfaces in places in the yard shown by the Nature House staff and must be extinguished after use. Costs of unnecessary fire alarms will be collected from the renter, if the alarm is caused by their actions.
