Organising an event at a library

Would you like to organise an event at a library? The facilities are free of charge for events that are open to all.

General instructions

Propose your event to the library in question by filling in the Event reservation request form(external link, opens in a new window) (available in Finnish and English) at least six weeks before the planned event.

What kind of events are suitable for libraries?

  • All events must be open to all, non-discriminatory and free of charge.
  • Multi-party political and topical debates are allowed, but personal advertising is prohibited.
  • The event must be in good taste.
  • Religious events are not allowed in open spaces.
  • Commercial activities and business-to-business sales are prohibited.

Instructions for event organisers

  • On the day of the event, be there in good time so that you have time to prepare.
  • Photographing and video recording of events are allowed in accordance with the rules set for public spaces.
  • You must have the appropriate licenses to present any video or audio material at the event.
  • Notify the library of any cancellations and changes in good time.

Advertising

When you have booked a space, send the library a high-quality photo (horizontal, 1920 x 1080 px, aspect ratio 16:9) and a presentation text describing your event. The library will promote the event through wall posters and on its website and social media channels. If necessary, information displays will also be used for promotion. You should also do your part to promote your event. You can, for example, offer your event for newspapers’ event search engines (Menokone maintained by Helsingin Sanomat(external link, opens in a new window) and Menoinfo maintained by Etelä-Suomen media(external link, opens in a new window)).

General rules for using bookable library facilities

  1. The booked space and its furniture can be used by the booker during the time slot specified in the contract. Any initial preparations and final cleaning must be included in the booked time slot. The space must be available for the next booker when their time slot begins.
  2. Events with an admission fee (related to material costs) cannot be organised at libraries.
  3. The booker is liable for compensation if the users of the space cause damage to the property or equipment. The booker must immediately report any damage to the library staff.
  4. The content or nature of the event cannot be in conflict with Finnish law or contrary to good practice.
  5. If necessary and at its discretion, the library has the right to deny the booker access to the booked space or to interrupt the event.

Library and culture bus Välkky

Espoo’s library and culture bus Välkky is a versatile mobile service. Välkky offers all your basic library services: you can borrow and return books and browse the collection of books and other materials.

On weekdays, Välkky visits schools according to pre-agreed schedules. In the evenings and on weekends, it stops at day care centres, residents’ parks, and various events. We are happy to cooperate with different partners.
