Organising an art exhibition at a library

Libraries’ exhibition spaces

Espoo welcomes everyone to its libraries to admire art or to organise their own art exhibition! Would you like to showcase your art? There are exhibition spaces in the Entresse, Lippulaiva, Sello and Tapiola libraries.

How to apply for an exhibition slot

Holding an exhibition is free of charge. The library reserves the right to decide to whom the exhibition slots are granted. We aim to display a variety of different art forms, such as photography, acrylics and watercolours. We give priority to first-timers and consider the values of the exhibition as a whole. A contract is always concluded on the use of the exhibition space.

Application schedule

There are three exhibition periods per year, each with their own application deadline. Below, you can see the application deadline for each period.

  • Exhibitions that start between 1 January and 30 April; the application deadline is 31 October.
  • Exhibitions that start between 1 May and 31 August; the application deadline is 28 February.
  • Exhibitions that start between 1 September and 31 December; the application deadline is 30 June.

Terms of use

  • The exhibitor can use the agreed upon space free of charge.
  • The exhibitor does not have the right to use other spaces, materials or equipment than those specified in the contract.
  • The exhibitor must take care of all practical arrangements, such as mounting and dismantling the exhibition, organising the opening event and taking out necessary insurance.
  • The library is not responsible for the exhibition materials or any costs related to the organising of the exhibition.
  • Only the library’s furniture can be used in the exhibition. The exhibitor is obligated to protect the premises and furniture from damage. The exhibitor is liable for any damage caused by their staff, performers or visitors to the library’s fixed or movable property. The exhibitor is responsible for the equipment or other property they have brought into the space.
  • Library premises cannot be used for organising promotional or commercial exhibitions.
  • The exhibitor is responsible for the cleanliness and appropriate use of the space. The space must be left in the same condition as it was upon reception. The exhibitor is responsible for any additional cleaning costs if they are caused by the exhibitor’s activities.
  • Smoking and drinking alcohol are prohibited on the premises.
  • The exhibitor does not have the right to hand over the contract or the space to a third party without the consent of the administrator.
  • The exhibitor may cancel the exhibition booking by notifying the administrator in writing before the exhibition slot begins.
  • The administrator may only cancel the booking in case of force majeure by notifying the exhibitor in writing before the exhibition slot begins. 

Marketing of exhibitions

Libraries advertise exhibitions as events in the Helmet online library(external link, opens in a new window) and on the City of Espoo website. The exhibitor may advertise their exhibition on social media or by submitting an advertisement to newspapers’ events section. The library can be added as a co-organiser on Facebook events.
